POSITION TITLE

WIC Intake – Front Office Assistant

GENERAL FUNCTION

The Special Supplemental Nutrition Program for Women, Infants and Children (WIC) Intake office serves as the initial point of contact for the Well Child Center operations. Intake staff answer phones and greet visitors. Key responsibilities include prescreening clients and verifying WIC eligibility, electronically completing client intake information on WIC portal, scheduling appointments for clients, and comprehensively explaining program services and clients’ rights and responsibilities.

DUTIES AND RESPONSIBILITIES

  • Perform various clerical procedures, including answering phones, maintaining WIC records, processing clients, and data entry.
  • Assist in determining eligibility for WIC services by screening clients for program requirements according to guidelines.
  • Verify WIC identification cards for accuracy and ensure signatures are complete.
  • Electronically completes client intake, including participant search, precertification screen, household information, and participant information.
  • Reschedule missed or incomplete appointments from the previous day.
  • Check voicemail messages and return calls.
  • Print and file completed client internet class forms. Follow up on transfers in and out of the clinic, follow up on potential duplicates.
  • Update WIC Retention Outreach Log.
  • Set up/clean laboratory, including calibrating and cleaning the point-of-care hematology test machine, as needed.
  • Collect referral biochemical (hemoglobin) data or collect biochemical (hemoglobin) value via a finger stick procedure for participants.
  • Interpret for clients during counseling/education appointments.
  • Ensure National Voter Registration Requirements are met.
  • Organize and stock supplies for intake office and laboratory.
  • Attend outreach events in the community as assigned by the WIC Manager.
  • Other duties as assigned.

SUPERVISORY RELATIONSHIP

Reports to: WIC Manager

REQUIREMENTS AND QUALIFICATIONS

•  High School Diploma or GED.

•  1 year of work experience.

•  Basic computer knowledge and data entry skills.

•  Ability to maintain and keep records.

•  Ability to work on weekends and overtime, if necessary.

•  Reliable transportation, able to commute to multiple WCC sites in Kane County.

o NOTE: Based on clinic need, all WIC staff may need to work permanently, as an alternate, or 

temporarily at any current (Wing Street, Greater Family, VNA [Villa Street], and/or Aunt Martha's) 

or future Northern Kane County clinic site(s). Further, WIC staff may need to drive their own 

vehicle to other clinic site(s) at any point during the day to provide staff coverage.

• Bilingual (English/Spanish) required.
