Summary

Provides reception, office services, and administrative support to ensure smooth daily operations and excellent client service. Manages multiple tasks in a fast-paced environment with professionalism and attention to detail.

Key Responsibilities

  • Reception: Open/close reception, greet visitors, manage phones, schedule conference rooms, validate parking.

  • Office Services: Maintain office equipment and supplies, coordinate access cards, disinfect high-touch areas.

  • Records: Organize, catalog, and dispose of records per firm policy.

  • Conference Rooms: Reset rooms after meetings, clean surfaces, restock supplies.

  • Kitchen: Set up/tear down coffee, restock beverages and supplies, maintain cleanliness.

  • Mail/Packages: Sort/distribute incoming mail, process outgoing mail, route checks, manage subscriptions.

  • Building Maintenance: Report issues (lighting, HVAC, cleaning) and coordinate with vendors.

  • Administrative Support: Prepare folders, stuff envelopes, assist with projects for legal/admin teams.

  • Adaptable, organized, and detail-oriented.

  • Strong communication and proofreading skills.

  • Proficient in Microsoft Office and office technology.

  • Maintains confidentiality and ethical standards.

Requirements

  • High School Diploma/GED required

  • 3–5 years’ relevant experience (legal environment preferred).

  • Typing speed: 60+ WPM.

  • Ability to lift up to 50 lbs and perform physical office tasks.
