Department: Clinic Scheduling

Reports To: Manager, Registration & Scheduling

FLSA: Non-Exempt

Job Purpose:

The Clinic Scheduler is responsible for scheduling patient appointments for designated areas according to protocol. Provides courteous, professional and efficient service to patients and providers. Responsible for accurately completing registration process for all patients including collection of copayments and patient demographic information.

Primary Duties and Responsibilities:

  • Schedules patient appointments, consultations, diagnostics, and procedures in accordance with physician protocols
  • Reviews all incoming and outgoing referrals for our assigned physicians
  • Communicates scheduling and patient changes with appropriate clinic staff efficiently
  • Responds to patient inquiries regarding appointments and provides appointment reminders
  • Accept and submit insurance claims and payment, as well obtaining HMO referral for patients to be seen from their primary care provider
  • Collect co-payments
  • Updates and maintains physician scheduling templates
  • Resolves scheduling conflicts proactively to address patient and care team needs

Education and Experience Requirements:

  • High school diploma or GED required
  • Minimum 1 year of customer service experience required
  • Working knowledge of Microsoft and Google Suites
  • Previous clinical experience preferred

Environmental/Working Conditions:

Working environment is in an office/clinic setting. Consistent work hours outside of normal business hours, including evenings and weekends.


Physical/Mental Demands:

  • Sit for extended periods of time
  • Lifting, carrying and/or moving objects up to 20 pounds in a manner consistent with most office environments
  • Finger dexterity for typing on a keyboard and using a mouse for extended periods of time.
  • Vision (e.g., depth perception, color vision, strong vision up close); hearing (e.g., high pitch sounds, soft or distant sounds)
