Office Administrator/Bookkeeper
PADS of Elgin, Inc. - Elgin, IL
PADS of Elgin is a not-for-profit organization dedicated to providing overnight shelter and service coordination to the homeless population in our area. We are currently seeking a motivated and compassionate candidate to fill our office administrator/bookkeeper position.
Job Responsibilities Include :
Answer phones daily.
Greet all guests and visitors.
Conduct new guest intakes when required.
Route all new intake files to the executive director for assignment to case managers.
Review all intakes for accuracy of information and enter data into both guest demographic programs.
Maintain grant, guest and general files – including all accounting files.
Maintain all financial data in Quickbooks and provide monthly reports as needed.
Responsible for all deposits and insuring all bills are paid on time.
Download and maintain picture albums of guests and make all ID’s.
Compile and maintain any other data needed for grant applications and reporting or as required by executive director.
Complete and submit all necessary reports relating to grants including Hanover Township monthly reports, DHS Quarterly reports, etc.
Take inventory, record and store as needed and record all in-kind donations.
Produce and maintain forms for shelter and office.
Update and maintain all mailing lists.
Assist with fundraisers.
Assist with bulk mailings.
Order all office supplies.
Assist executive director when requested and complete all other duties as reasonably assigned.
Not-for-profit experience or understanding a plus. Benefits include health insurance, IRA match, PTO and paid vacation.
