Job Description
Title: HR Assistant/Receptionist Reports To: Director Human Resources

BASIC FUNCTION
Position serves as a key role as the gatekeeper for our employees and prestigious customers arriving for meetings and training classes as well as directing external calls. Additional primary functions include serving as the first-point recruiter for core positions and organizing and planning employee activities

SPECIFIC RESPONSIBILITIES
Front Desk
Serves as primary front desk receptionist (approximately 5 hours a day) involving responding and forwarding calls as well as arranging trainee lunches, coordinating room schedule, and greeting internal and external customers with the highest degree of respect and courtesy.
Responsible for office administrative duties related to HR, other departments and any other miscellaneous duties upon request including processing month end reporting for HR
HR Assistant
Responsible for performing as the primary recruiter for core positions serving as the liaison to external agencies, coordinating onsite/telephone interviews, and maintaining database within the internal operating guidelines.
Assists with hiring processes by coordinating social media job posting, securing responses, reviewing resumes, and conducting reference checks via external providers as well as onboarding process.
Maintain insurance enrollments and websites including troubleshooting insurance matters.
Participate in the company-wide employee events to contribute to the overall well-being of employees.
Administer the internal travel policy and offer support to internal travelers as well as perform maintenance on company’s internal booking tool application and preferred rental agencies.
Responds to employees’ questions related to HR related matters and other company related business questions.
Assists with the preparation of communication materials ensuring appropriate channels are utilized within the scope of the message, maintaining employee database, and participating in the scheduling of performance reviews.
Assist with the various research projects and/or special projects with the Director HR.

QUALIFICATIONS
KNOWLEDGE: High school diploma or equivalent with some college or technical school coursework preferred and minimum of three (3) years of job-related experience, preferably in a human resource department, or any equivalent combination of education and experience that provides the required knowledge, skills and abilities.
EXPERIENCE: Minimum three years administrative and receptionist experience in a fast-paced, service oriented office environment requiring high level of professionalism.
SPECIAL SKILLS: Demonstrated interpersonal skills to handle sensitive and confidential situations and documentation.
Good to Excellent telephone and oral communication skills
Intermediate knowledge: Windows, MS Office, ADP Application, Internet.
Proven organization and multi-tasking skills including ability to work independently and maintain flexibility with changing work assignments.
Attention to detail in composing, word processing and proofing materials, establishing priorities and meeting deadlines.
